Job Description:

The Financial Planning Associate is responsible for supporting the systems and procedures for successful operations in the firm, as well as for end-to-end processing and servicing of client accounts. Responsibilities also include supporting systems and procedures for the planning department.

Responsibilities Include:

1. Complete forms for client accounts correctly and submit them in a timely manner

2. Handle phone calls from clients; process client requests; follow thru all client related tasks

3. Prep Portfolio Reviews and update agendas for client meetings

4. Assist in tracking and managing pending transactions

5. Update Transaction Log for advisor’s attention when documents are outstanding, follow-up with clients in coordination w/advisor

6. Manage and update RedTail CRM system to ensure accuracy and compliant procedures

7. Scan/File client notes, statements, correspondence and agreements

8. Maintain up-to-date organized client files both physical and electronic, including copies of all signed applications and forms, according to SEC compliance requirements

9. Good project management and communication skills

10. Support marketing efforts of the firm

11. Prepare, send and track outgoing mail for operations-related correspondence

Required Knowledge/Skills/Competencies:

  • BA in Finance, Economics, or Business Administration preferred
  • Two years of experience in Financial Services
  • Series 65 a plus
  • Exceptional listening skills
  • Demonstrates ability to work in fast-paced environment
  • Expert organizational skills, ability to work independently and with a team
  • Sufficient patience to do repetitive work including filling out detailed forms correctly
  • Proficiency in Microsoft Word, Excel, Outlook, PowerPoint, and Adobe Acrobat programs
  • Ability to proof all correspondence and client communications
  • Professional appearance and demeanor
  • High degree of integrity and precision
