Job Description:

Job Responsibilities:

• Maintain confidentiality of agency information

• Provide administrative support to the Executive Director

• Provide administrative support for the Board of Trustees and its committees

• Maintain Covid PPE inventory and order supplies as needed

• Procure and maintain certificate of insurance for vendors

• Provide administrative support during insurance renewal & maintain on-going communication with broker and insurance representatives

• Oversee in house operation of telephone including communication with vendors

• Process NYS and federal reports

• Function as account manager for the following contracts and accounts: copier machines, cell phone, postage machine and other leased equipment

• Provide administrative support to the Facilities Manager, including communications with the security system vender, and maintain organization of all building keys

• Provide administrative support to the School Nutrition Program, including Ulster County Dept. of Health

• Maintain administrative files, manage long-term electronic and paper file storage of administrative and clinical files

• Provide coverage at reception desk as required

• Provide administrative support to the Development & Public Relations Coordinator

• Provide administrative support to Human Resources

• Provide administrative support with various data bases used in educational programming

• Comply and assist with COVID19 policies and procedures including cleaning, sanitizing, and disinfecting surfaces and equipment

• Complete designated follow-ups

• Attend required meetings

• Maintain a safe working environment

• Adhere to policies in the Staff Handbook, Human Resources Manual and other Handbooks as pertinent

• Provide administrative support for other departments

• Contribute to the productive functioning of the school

• Meet with support staff as needed

• Complete any additional required paperwork

EDUCATIONAL REQUIREMENTS:

  • High School Diploma or GED plus secretarial experience or business degree.
  • Must be computer literate and knowledgeable in Microsoft Office including Outlook, Word, Excel and experience with data base programs.
